  • Overview

    Job Summary: The Senior Administrative Assistant performs administrative functions to assist executive managers including managing emails, calendar, in-coming phone calls, appointments, travel, presentations, and reports.  Provides support to the organization with telephone and reception area coverage.  Works with other areas to provide administrative support including digital document handling, storage and clean up; paper filing and organization; document editing and formatting; and supply purchasing. This is an in office position with no travel.  Prefer bi-lingual Mandarin Chinese for interpreting assistance.

    Responsibilities

    Essential Job Functions:

    • Provides support for two to four managers and is part of the administrative support team
    • Works with travel agency or directly books domestic or international travel for managers
    • Completes expense reports
    • Enter and approve time sheets and documents in SyncHR, SAP Business ByDesign, and other systems
    • Assists managers with phone calls, calendars, appointments, reports and presentations
    • Perform administrative functions to support daily office operations including management phone coverage and ordering supplies
    • Assist with maintenance, filing, and organization of critical office documents including Confidentiality Agreements, CVs, Standard Operating Procedures, job descriptions, training records, and business development database as required
    • Will handle information of a sensitive nature and must maintain confidentiality and professionalism
    • Demonstrates flexible and efficient time management and ability to prioritize workload
    • Receives supervision and support from direct managers, Executive Assistant, Human Resources and Office Administration
    • Must show ability to gather and analyze data,  develop solutions to issues and apply previous lessons to future work
    • Must make maintain and manage tasks within time constraints so that deadlines are met
    • Expected to be a self-starter, require minimal supervision and streamline and improve processes whenever possible
    • Normally receives minimal instructions on routine work and detailed instructions on new assignments
    •  Ability to work in a team environment and independently as required
    • May be required to work Holidays and weekends
    • May be required to work Overtime
    • Contributes to the overall operations and to the achievement of departmental goals
    • Perform job specific tasks in compliance with applicable Regulations, International Standards, and WuXi AppTec Policies and Standard Operating Procedures
    • Other duties and projects as assigned
    • May be required to assist in other departments

    Qualifications

    Job Requirements

     

    Experience / Education:         

    • Minimum of three (3) years of related office administration experience
    • Prefer candidates with experience managing multiple managers and/or executive level managers
    • High School Diploma or equivalent required and bachelor’s degree preferred

     

    Knowledge / Skills / Abilities: 

    • Required skills to speak to clients, visitors, vendors, inbound callers, and employees in English and to build rapport with all
    • Preference for Chinese Mandarin speaker for above and also informal translation and interpreting work
    • Ability to effectively communicate issues and potential resolutions to managers and other team members
    • Must show excellent interpersonal communication skills
    • Must exhibit positive, professional demeanor in all communications and must be able to introduce differing communication strategies as warranted
    • Must exhibit concise technical writing skills in English with minimal grammatical or logical errors
    • Advanced knowledge and skill in MS Office Suite, especially Word, Excel, Powerpoint, experience with multi-line phone system, ability to multi-task and problem solve, strong interpersonal and communication skills, team oriented with the ability to work independently and meet deadlines
    • SAP Business ByDesign and SalesForce experience preferred
    • Travel is not required

     

    Physical Requirements: 

    • Must be able to work in an office environment, which has minimal noise conditions
    • Ability to stand or sit for most of the work day
    • Must be able to perform some activities with repetitive motion, such as keyboarding
