Overview

The Designated Archivist will securely maintain documents and other critical business materials while adhering to appropriate CFR and ISO record retention policies and requirements. Acts as the subject matter expert for archive staff with regard to proper retention practices and regulatory compliance.

 

Responsibilities

Essential Job Functions:

  • Organizes and verifies original data for archiving in accordance with Standard Operating Procedures
  • Maintains and retrieves archive documents and material as requested by internal customers
  • Maintains security of data and records by ensuring that records, documents or materials taken from archive are returned promptly
  • Ensures records and data removed from the Archive Room are removed in accordance with Standard Operating Procedures.
  • Maintains applicable archive databases, spreadsheets, and electronic records
  • Maintains security of Archive Room entry and temperature monitoring
  • Coordinates and maintains offsite document storage
  • Maintains cleanliness and organization of Archive Room to ensure audit and inspection readiness.
  • Provides day-to-day direction of Archive Staff
  • Performs job specific tasks in compliance with applicable Regulations, International Standards, and WuXi AppTec Policies and Standard Operating Procedures and ensures Archive Room practices adhere to compliance standards
  • Provides after hours support for the Archive Freezer
  • Contributes to the overall operations and to the achievement of departmental goals
  • May be required to work overtime and/or weekends on occasion
  • May be required to assist in other departments and perform other tasks as assigned

Qualifications

Experience / Education

  • Minimum of an Associates Degree in a related field, a four-year degree is preferred
  • In lieu of post high school education, a high school diploma or equivalency is required with a minimum of 4 years of directly related work experience
  • With a post high school education, a minimum of two years of direct experience in an archive function or three years of experience in an office environment with a broad range of administrative experience is required
  • At least 2 years of work experience performing functions requiring a working knowledge of GLP or GMP requirements
  • Previous experience in a lead role directing the daily work of others 

Knowledge / Skills / Abilities:

  • Excellent verbal & written communication skills
  • Must be able to read, write and understand English
  • Demonstrated attention to detail and organizational skills
  • Ability to prioritize workload and manage changes in priorities
  • Ability to work under pressure handling multiple projects, demands from multiple internal customers, and demonstrated success meeting tight deadlines
  • Ability to work in a team environment
  • Demonstrated experience working with Electronic Document Management systems
  • Proficient computer skills; with intermediate level skills with Microsoft Office including MS Excel, Word, Outlook and other related applications.

 

Physical Requirements:

  • Must be able to work in an office environment with minimal noise conditions
  • Must be able to work in lab setting with exposure to animals/biohazards/ Chemicals (e.g. - formaldehyde)
  • Must be able to work standard business office hours and a standard work week
  • Must be able to wear appropriate PPE
  • Ability to stand and/or sit for long periods of time
  • Ability to lift up to 30 lbs. routinely
  • Ability to crouch, bend, twist, and reach
  • Ability to push/pull 30 lbs. routinely
  • Clarity of Vision
